NeoProp Technologies FZ-LLC ("NeoProp", "we", "us") is a UAE-based company providing technology for real estate brokers and developers. This policy covers two things we operate: this website (neoprop.ai) and our SaaS CRM platform, PropCRM (propcrm.app), including PropCRM's features that connect to the WhatsApp Business Platform provided by Meta. It explains what personal data we collect, why, how it's handled, and how it's shared, in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021, "PDPL") and the Meta Platform Terms and WhatsApp Business Messaging Policy that govern our use of the WhatsApp Business Platform.

1. Who this policy applies to

• Visitors — anyone browsing neoprop.ai or submitting our contact form.
• Customers — real estate brokers, developers, and agencies who hold a PropCRM account and use it, including its WhatsApp messaging features, to manage their own sales and marketing.
• End Users — the leads, clients, and contacts that a Customer messages through PropCRM, including over WhatsApp. NeoProp does not have a direct relationship with End Users and does not decide who they are or what they're contacted about — that's determined entirely by the Customer.

2. Data we collect

Through this website:

• Contact form submissions: name, company, email, phone number, your role (broker, developer, Salesforce partner, or other), and your message.
• Basic analytics data: pages visited, general location (country/city level), device and browser type, collected via privacy-conscious analytics tooling.

Through PropCRM (including WhatsApp messaging features):

• Customer account data: name, company, email, phone number, login credentials, and billing details.
• End User data that a Customer imports or enters into PropCRM to manage their own leads and clients: names, phone numbers, and other contact or listing-related details the Customer chooses to store.
• WhatsApp messaging data sent or received through PropCRM on a Customer's behalf via the WhatsApp Business Platform: phone numbers, message content and attachments, message templates, timestamps, and delivery/read status.

3. How we use it

Website data is used to respond to your enquiry, route qualified leads into our own CRM, and understand site usage to improve content and performance.

PropCRM and WhatsApp data is used to operate the platform a Customer has subscribed to: sending and receiving WhatsApp messages on the Customer's instruction, displaying message history and delivery status inside PropCRM, and providing the CRM, reporting, and support features Customers use to run their own sales and marketing operations. We do not use WhatsApp data to build advertising profiles, and we do not sell it or use it for any purpose outside operating PropCRM for the Customer, consistent with the Meta Platform Terms and WhatsApp Business Messaging Policy.

4. Our role for End User data — we act on the Customer's instructions

For data about End Users processed through PropCRM's WhatsApp features, NeoProp acts as a data processor / service provider — we process that data on behalf of, and under the instructions of, the Customer, who is the data controller. Customers are solely responsible for having a lawful basis and the necessary consent or opt-in from their End Users before messaging them over WhatsApp, and for complying with the WhatsApp Business Messaging Policy, applicable anti-spam and data protection law, and their own obligations to their clients. NeoProp does not initiate messages to End Users on its own behalf and does not use End User contact data for its own marketing.

5. Legal basis

We process website contact-form data on the basis of your consent when you submit the form, and our legitimate interest in responding to business enquiries. We process Customer account data on the basis of our contract with the Customer (the PropCRM subscription agreement). We process End User data via WhatsApp messaging features on the basis of the Customer's instructions under that same contract; the Customer's own legal basis for contacting their End Users (typically the End User's consent) governs whether a given message should be sent.

6. Data sharing

We do not sell personal data. Data is shared only as needed to run our services:

• Meta / WhatsApp Business Platform — messages sent or received through PropCRM's WhatsApp features are transmitted via Meta's WhatsApp Business Platform (Cloud API), which processes that data under its own terms as the messaging infrastructure provider.
• Infrastructure providers — we host our website and PropCRM on Amazon Web Services (AWS), and use AWS's email service to deliver notifications. These providers process data solely to run the infrastructure we operate on.
• NeoProp team members who need access to support Customers or operate the platform.

We do not share personal data with third parties for their own marketing purposes.

7. Data retention

Website contact-form submissions are retained for as long as needed to manage the business relationship and for a reasonable period afterward for record-keeping, then deleted or anonymized. PropCRM account data, End User contact data, and WhatsApp message history are retained for as long as the Customer's subscription is active, plus a reasonable period afterward for backups and legal/accounting purposes, or until the Customer deletes the data or closes their account, whichever is earlier.

8. Security

We use reasonable technical and organizational measures to protect personal data against unauthorized access, loss, or misuse, including encryption in transit (HTTPS/TLS), access controls limiting who on our team can view Customer and End User data, and hosting on AWS infrastructure with regional access restrictions.

9. Your rights

Under UAE PDPL, you may request access to, correction of, or deletion of your personal data, and may object to or restrict certain processing. If you are an End User contacted through PropCRM, the Customer who messaged you controls that data and is the right first point of contact for such requests; we will also assist by relaying verified requests to the relevant Customer, or acting directly where required by law. 10. Children's data

Our website and PropCRM are business tools intended for real estate professionals and are not directed to children. We do not knowingly collect personal data from children.

11. International data transfers

Our infrastructure is hosted on AWS, and WhatsApp messages are transmitted via Meta's global infrastructure as the WhatsApp Business Platform provider. Where data is processed outside the UAE as a result, we rely on our infrastructure and platform providers' own safeguards and contractual protections for that processing.

12. Changes to this policy

We may update this policy from time to time as our website, PropCRM, or applicable law changes. The "Last updated" date at the top reflects the most recent revision.
